Catering Quote Comparison Sheet
This free sheet helps you compare two or three catering quotes side by side, line by line, so you can see the real all-in cost per guest before you choose. It is a simple way to catch missing fees, different service levels, and contract details that can change your final bill.

What this free comparison sheet helps you do
When catering quotes come in, they often look similar at first. Then you notice one includes staff and rentals, another only includes food, and a third has a minimum spend that changes the math. This worksheet gives you one place to compare those details fairly.
It is especially helpful if you are planning a wedding, office lunch, birthday, memorial reception, holiday gathering, cultural celebration, or a small drop-off event and you do not want to overpay or get surprised later. You can use it whether you are comparing full-service catering, drop-off delivery, buffet, stations, family-style, or plated meals.
Tablefare is a free matching service, not a caterer, restaurant, or event planner. We do not cook, serve, or set catering prices. We help you get connected with caterers so you can compare options and choose what works for your table.

What’s inside the sheet
The download is designed to help you compare the parts of a quote that matter most, not just the top-line total. It gives you side-by-side space for two or three caterers, plus room for notes after calls, tastings, or email follow-ups.
You can use it to track:
- estimated guest count
- service style
- menu and dietary notes
- price per guest
- food-and-beverage minimum
- delivery and setup
- staffing and bartender fees
- rentals like plates, flatware, linens, and chafers
- service charge or gratuity
- cake-cutting or corkage
- overtime fees
- deposit amount
- final-headcount deadline
- cancellation terms
- all-in estimated total and all-in cost per guest
There is also space to note what each caterer confirmed in writing, what still needs clarification, and how the quote fits your budget, guest list, and event style.
Who this helps most
This sheet is useful for almost any host, but it is especially helpful if you are comparing quotes from different kinds of caterers or planning in a city you do not know well. If you are organizing from another state or another country, or you prefer reading in a language other than English, having one simple side-by-side sheet can make the decision feel much clearer.
It also helps when guest counts are still moving. A quote for 40 guests can look very different from a quote for 100, and some fees change a lot depending on the size of the event. Looking at the all-in cost per guest makes it easier to compare fairly.
If you still need options to compare, you can get matched with caterers near your event. The service is free for the host, and we only collect contact and event details like your name, phone, optional email, event type, city or ZIP, rough date, rough guest count, service style, cuisine, and preferred language.
How to use it when quotes start coming in
The easiest way to use the sheet is to fill it out as each quote arrives, while the details are fresh. Do not wait until the end and try to remember what was included.
- Write the caterer name, event date, guest count, and service style at the top.
- Enter the food price or per-guest price exactly as shown.
- Add every extra line item you see, including staffing, rentals, delivery, setup, bartenders, and any service charge or gratuity.
- Note what is missing or unclear.
- Divide the estimated total by your guest count so you can see the all-in cost per guest.
- Ask each caterer to confirm the final price per guest and the date in writing.
- Read the full contract and the final invoice before paying a deposit or signing.
If one quote seems much lower than the others, that does not always mean it is the better deal. It may be missing labor, rentals, or cleanup, or it may assume a simpler service level. The sheet helps you see whether you are comparing the same thing.
What catering can cost, in real life
Costs vary a lot by city, menu, service style, guest count, day of week, season, and what is included. These ranges are general information only, not quotes. The real number depends on your event.
For simple drop-off catering, many events land around $12 to $30 per guest before extras, though premium menus, small orders, or expensive markets can go higher. Buffet catering often runs about $20 to $60 per guest before added staffing, rentals, and service fees. Full-service weddings or plated events commonly range from about $45 to $150+ per guest, and sometimes more for higher-end menus, large staffing teams, rentals, bar service, or peak dates.
What moves the number up or down most often: the menu, how the food is served, whether staff are included, how many guests you have, whether rentals are needed, whether alcohol service is involved, and whether your date falls on a busy weekend or holiday. You can read more about typical ranges on our costs page and find more planning help in our guides.
A few smart questions to ask before you decide
A clear quote should make you feel calmer, not more confused. If something is vague, ask. It is normal to request a breakdown before you commit.
- Is this the full estimated total, or are any fees still missing?
- What exactly is included in the price per guest?
- Are service staff, setup, cleanup, and bartenders included?
- Are plates, utensils, glassware, linens, or chafing dishes included?
- Is there a food-and-beverage minimum?
- When is the final guest count due?
- What happens if the count changes?
- What deposit is due, and when?
- What are the cancellation terms?
- Can you confirm the date and pricing in writing?
This sheet is not legal or financial advice. It is a practical tool to help you compare options more clearly. For contract questions, always rely on the caterer’s own written agreement and, if needed, a licensed professional.
Use this free sheet to compare catering quotes line by line so you can see the real total, the real cost per guest, and any hidden fees before you book.
Common questions
Is this comparison sheet really free?
Yes. The download is free to use. Tablefare is free for the host.
Can I use this for wedding catering and small drop-off orders?
Yes. It works for weddings, office events, birthdays, memorial receptions, holiday gatherings, and smaller delivery-only meals. The goal is the same: compare the real all-in cost and what is included.
Why do two quotes with the same per-guest price end up with different totals?
Because the per-guest number is only part of the picture. Staffing, rentals, delivery, setup, bartender fees, service charges, minimums, and overtime can change the final total a lot.
What if I have not picked a caterer yet?
You can still download the sheet now and use it later. If you want options to compare, you can [get matched](/get-matched/) with caterers near your event.
Does Tablefare collect sensitive personal or financial information?
No. We only collect contact and event-intent details such as your name, phone, optional email, event type, city or ZIP, rough date, rough guest count, service style, cuisine, and preferred language.
Will this sheet tell me which caterer to choose?
It will help you compare quotes fairly, but the choice is still yours. You stay in control: compare the all-in cost per guest, taste or sample where possible, and confirm everything in writing before you sign.
