Open →Guides made for real hosts
If you are planning a wedding, office lunch, birthday, memorial reception, holiday gathering, or simple drop-off meal, these guides are here to make catering easier to understand. We keep the language plain and practical, especially if you are planning in a second language or helping family from another city.
Tablefare is a free matching service, not a caterer, restaurant, or event planner. We do not cook, serve, or set prices. We share general information to help you prepare, then you decide which caterer you want to contact, compare, and book.
What you can learn here
Our guides cover the questions most hosts ask when they are trying not to overpay or miss something important. That includes how to compare service styles, what to ask before a tasting, how to read the fine print in a quote, and how to think about guest count, rentals, staffing, and delivery.
A good place to start is how to choose a caterer. If you want quick answers about menus, timing, service, or contracts, you can also visit help.
Honest cost basics
Catering prices can vary a lot, and the real number depends on the menu, service style, guest count, day and season, your city, and what is included. These ranges are general information only, not quotes.
As a rough starting point, simple drop-off catering often runs about $15-$35 per guest, buffet service often falls around $25-$60 per guest, food stations are often around $30-$75 per guest, and plated full-service meals can run roughly $45-$120+ per guest. Premium ingredients, more staff, rentals, bartenders, long service windows, and busy dates usually push the total higher.
The menu price is not always the final price. Ask about service charges or gratuity, staffing fees, bartender fees, rentals, delivery and setup, cake-cutting, corkage, overtime, food-and-beverage minimums, deposits, cancellation terms, and the final-headcount deadline. You can read more in costs.
What Tablefare does
Tablefare helps you get matched, at no cost, with participating caterers near your event who can send quotes for you to compare. The service is free for the host.
We collect contact and event details only: your name, phone, optional email, event type, city or ZIP, rough date, rough guest count, service style, cuisine, and preferred language. We do not ask for financial account numbers, Social Security numbers, immigration documents, income, or sensitive records.
Stay in control of the decision
The best catering choice is not always the cheapest line item. It is the one that fits your event, your guests, and the full cost once everything is included.
Taste or sample where possible, compare the all-in cost per guest, ask what is and is not included, and confirm the price per guest and the date in writing before you sign or pay a deposit. Always read the caterer's full contract and final invoice carefully. For legal or financial questions, go to the caterer's contract and a licensed professional.
When you are ready, you can get matched and start comparing options.
These guides help you understand catering costs, questions, and contract details so you can compare quotes clearly and choose with confidence.
